Job description

Your role will be to assist the R&D managers (CTO N-1) and the team for all administrative tasks.

Main missions :

-         Proactively manage the meetings set-up and organization, internal and external.

-         Ensure that all travels are properly organized and that the expenses are managed on time using the ACC tools

-         Manage the archiving of all legal documents

-         Assists R&D managers by performing related duties.

-         Aids in developing, coordinating, and enforcing systems, policies, procedures, and productivity standards.

-         Document meeting minutes of teams meetings and follow up due dates of open actions

-         Prepare and organize customers and partners visits internal and external

-         Provide administrative assistance,

-         Maintain comprehensive and accurate records

-         Organize meetings, including scheduling, sending reminders, and organizing catering when necessary

-         Manage the executive’s calendar, including making appointments and prioritizing the most sensitive mat

-         Follow-up of supplier orders (eg QAD)


Knowledge / Know how

  • Ability to interact with / and coordinate various people.


  • 10+ years as senior executive assistant
  • Previous experience in managing complex meetings set-up and organization


  • English mandatory
  • German would be a plus
